How to build a weekly roster for a small venue

Set up areas and roles once, then lay out the week, check it and publish it to every phone.

Guide

Start with areas and roles

Before you add a single shift, set up the areas of your venue, such as the floor, the kitchen and the bar, and the roles people work in each one. You do this once and reuse it every week.

Clear areas and roles make the roster easier to read, and they let staff see exactly where they are working.

Lay out the week

Add shifts by day, area and role. Start with the shifts that always happen, then fill in around your busier periods.

If last week's pattern mostly worked, start from a copy of it and change only what is different.

Check it, then publish

Before publishing, look for gaps in cover and for anyone rostered on leave they have already had approved.

When you publish, staff see their shifts in the staff app. Any change after that is shown to the people it affects.
